Meeting Minutes
March 19, 2010
Opening
- The regular meeting of the BPKSA was called to order at 9:35 on March 19, 2010 in the Kinesiology Seminar Room by John Abreu-Lanza.

- John, Lauren, Marissa, Charlotte, Blaine, Brent, Amanda, Matt, Sandra
Approval of Agenda
- The agenda was unanimously approved as distributed.
Approval of Minutes
- The minutes of the previous meeting were unanimously approved as distributed.
Open Issues
- Meetings Over Summer Semester
- 3 meeting left this semester: March 26, April 9, April 16
- Union will run over the summer and a meeting time will be agreed upon that will work with everyone’s schedule
- Received $750 last summer (most likely will be the same this year)
- Club Night
- Tickets for club night have been printed and are available to be sold
- 32 tickets have been accounted for
- Remember to return all unsold tickets to John
- Clothing
- John picked up the two logos for clothing (T-shirts) from the designer
- Group decided on the logo with a more continuous ECG (name of faculty is on bottom and SFU is on the top)
- Year End Party
- 150 tickets have been printed with the price ($30) on a removable bottom portion
- Budget
- If we sell tickets for $30 and we sell all 150 tickets, we are approximately $1600 short (with a DJ at event) or $1200 short (without a DJ)
- Did not factor in taxes and gratuity last meeting when deciding on prices
- If we sell tickets for $30 and we sell 100 tickets, we will be making approximately $47 in profit (without a DJ)
- We will not be getting enough funding from the Club Night fundraiser to cover the deficits
- Two options: Sell the tickets for a higher price or scrap the event
- If we sell tickets for $35 and we sell 100 tickets, we will be making approximately $100 in profit (with DJ and budgeting $75 for advertising, without a cake and decorations)
- We don’t want to cut out aspects of event or break the bank for only 100 people to attend(no money until clothing sale in the fall)
- We still have to pay the web designer, pay for a new banner
- Options: Choose a cheaper meal option (no carving station), change venue to the campus pub, hire a band (cheaper than DJ?)
- John knows a band that plays at his work (charge $175/night right now)
- Final price for ticket: $40
- 100 tickets : $600 profit
- 120 tickets : $300 profit
- 150 tickets: short $150 to break even (If we sell 15 tickets for club night, it will cover the cost but we will have nothing left in account)
- Cap the number of guests at 120 (120 has been cap in the past) = $54.81/person
- $1000 deposit today (March 19) to confirm booking of Diamond Alumni
- Two weeks before event (April 18), we need the money for the guaranteed number of guests at event,
- Three days before event, we need the confirmed number of attendees
- We will not be selling clothing at the event
- Selling tickets:
- Nowhere we can sell tickets in the AQ for the next three weeks
- We will sell tickets outside the co-op office (Tues, Wed, Thurs) for two weeks
- Tickets can be purchased in the general office outside those times (Blaine will talk to Laurie)
- Start selling tickets next week
- Draft for poster: Change price on poster to $40, use larger wording for event name, and get out today
- Check signed for $53.68 to reimburse Blaine for tickets for event
- Check signed for $1000 to Beaver Food Limited (Diamond Alumni) to confirm venue
- Blaine will make a facebook group for the event
- Careers in Kinesiology
- Coop department will reimburse us for clothing sent to speakers
- John will check prices and Brent will check numbers and sizes
