Meeting Minutes

Wednesday, January 20, 2016

 

Opening:

The meeting of the BPKSA was called to order at 12:30pm by Loryn in room K9622.

 

In Attendance:

Loryn, Megan, Madison, Sabrina, Daniela, Darleen, Emily, Ravneet, Jake, Garveen, Debbie, Lea, Kirstin, Sam

 

Open Issues:

 

1) Career Event

-Lab Tours:

-registration is at 3:15 and we will provide nametags for the students

 -Daniela, Megan, Jake and Garveen are the leaders and will have signs to    direct

-Registration Table:

-starts at 4:15 with Loryn and Alex

-ideally have 4 members behind the table so that two can help register/collect money and the other two can give out the meal ticket and direct students to sign up for breakout sessions

-will pass clipboards down the line so students can make a nametag while they wait

-food police and clean-up crews can be assigned as the night goes on

-Dave Clarke will give the welcoming and Erina can stand beside him as a point of contact for students in case they have questions about the BPKSA

-need one person to walk around to each exhibitor to give them a thank you gift bag at some point

-escorts for presenters will give the gift bag at the end of the presentation:

PT: Kirstin with Midori, Megan with Jenny

RT: Shaila with Monika, Sam with Bryan

OT: Erina with Emma

MD: Megan with Mo, Loryn with Gina

-will have clothing coupons and gift cards for draw prizes at the end of the night

-Sabrina will have a camera and a camcorder too

-presenters and exhibitors will wear name tags; ones printed in red are alumni!

 

2) Research Day

-a day for undergrads and grad students to present their research, this year is on Friday March 11th

-Dawn Mackey is looking for some undergrads to be on the organizing committee for it (would meet 2 -3 times prior to the event), please email Loryn if you are interested!

-there are prizes for the best presentations and posters

-always a keynote speaker as well: last year they spoke about social media and how it can be used to educate others about you research

 

3) Clothing

-it may be better to buy the lanyards in the summer semester when we have more funding as we won’t sell them for the clothing sale but can give them out at clubs days in the fall (still have Kin Cup, Research Day and Year End Party to fund this semester)

-zip up hoodies will be very expensive at this point since the Canadian dollar is bad so this item will have to be brought back at a future clothing sale or we can look to see if there is a Canadian company that makes a similar type

-looked at Matt’s toque designs and we like the red/grey ones the best

-the dri-fits are a great option as well, a good time of year to sell them
