Minutes – June 18, 2018

Opening:

The meeting of the BPKSA was called to order at 12:30pm by Crystal in the BPK Conference Room. Minimum quorum of 4 executive members reached.

Open Issues:

1) Approval of Previous Minutes

  • Alam motioned to approve the meeting minutes of 2018-06-11. Katie seconded. Minutes approved unanimously

 

2) Summer Kin Cup

  • Wednesday June 20th3:30-5:30pm on Field 4, with Club Ilia social afterwards
  • we’ll need volunteers to set up and bring equipment to the field

  • RSVP to Facebook event, say interested if you can’t come
  • tic tac toe relay race warmup
    • have mixed teams with undergrad and grad/profs
    • initially have teams come up with a name to encourage team socializing
    • possibly have mixed team warmups incorporated into the Spring Kin Cup too for next year
  • ultimate frisbee, soccer, capture the flag
  • free appetizers at Club Ilia
  • Alam will bring freezies and a cooler to the field
  • Crystal will bring speakers from Long & McQuade
  • Grant approved for $388
    • field = $300
    • speakers = $25
    • about $60 for food

 

3) BPKSA Retreat

  • Ayesha (SFSS Organizer) suggested we apply for a grant
  • up to $50 for travel/parking per person, but cannot cover costs associated with a car due to liability reasons
  • up to $1000 as a group in miscellaneous equipment as long as the request aligns with the BPKSA mandate
  • housing is considered an unlimited separate expense
  • up to $6 per persons for each event to cover food costs
  • possibly Lac Le Jeune July 27th-29th
    • 3 camp sites for that weekend
    • grant will cover food, site reservation costs, water activity equipment
      • $58.60 for each camp site
      • $90 in food costs for 15 people
      • $15 in propane costs for cooking
      • $60 for water equipment (floaties, etc.)

 

4) BPK Hike

  • Saturday July 7that 10am
  • Crystal Falls in Coquitlam
  • need to make event posters and start advertising at Kin Cup

 

5) World Cup Semi Finals

  • July 10th (Tuesday) and 11th (Wednesday) for world cup semifinals
  • could possibly host another World Cup viewing on either days in the BPK student lounge

 

Motions

Emily B motioned $34 from core account for BPKSA Retreat event for $340 grant. Riley seconded it. Motion was passed unanimously.
