Meeting Minutes

March 12, 2010

Opening

  • The regular meeting of the BPKSA was called to order at 9:35 on March 12, 2010 in the Kinesiology Seminar Room by John Abreu-Lanza.

In attendance

  • John, Lauren, Marissa, Charlotte, Blaine, Torny

Approval of Agenda

  • The agenda was unanimously approved as distributed.

Approval of Minutes

  • The minutes of the previous meeting were unanimously approved as distributed.

Open Issues

  • Club Night
    • 50 tickets have been printed and John will pick them up today (March 12)
    • Finalized date/time: Saturday, March 20, arrival before 9pm
    • Finalized venue: Ceili’s on Granville street, downtown
    • Ticket cost: $10 for entrance before 9pm without line and w/o free drink voucher
    • Sell tickets next week to friends and email John to get the tickets
  • Clothing
    • John is getting logos for the clothing this weekend
    • We don’t have the time to organize a full clothing order and have distribution available this semester
      • Decided on a small clothing order for selling at events (Year end Party) this semester
    • Ordering T-shirts only
      • Base sizes off previous clothing order
      • Better to order more than less and have clothing left over (clubs days)
    • Wait to see how many tickets are sold for Gala before ordering the order of T-shirts
    • Big order will be postponed to the fall
      • Need to have samples and order forms available for clubs days in the fall
  • Year end party
    • Venue: Diamond Alumni Center is booked for Sunday May 2nd from 5:00-11:00pm
    • We are able to have up to 200 people attend
      • Blaine will find out if we need to have definite numbers ahead of event (under impression that we do not)
    • There are no events before ours that day so we can be there early to set up
    • Expenses
      • $350 for the venue
      • Two dinner options: $40 or $45/plate
      • Approx. $450 for DJ
      • Budget $250 for decorations and promotions
      • Total: $5550
    • Menu
      • Decided on $45 plate option (2 entrees and carving station)
      • Decided Entrees: Roasted veggie lasagna and grilled pesto chicken breast with sundried tomato demi
      • Decided Carving station: AAA beef
    • Expenses per person (assuming 100 people attend event)
      • Approx. $50/person for venue and food
      • Approx. $4.50/person for DJ
      • Total per person: $55.00
    • Budget
      • Able to use core funding: $1500 minus what was used for Careers in Kinesiology event (~$200), budget $1000 to be safe
      • Bank account: $1748
      • Ticket Pricing: $30.00
      • Have just enough
      • Drain bank account now and we can replenish it in the fall with the clothing order
      • Have $350 left for clothing order
    • Do we want to set a cap on people able to attend (150) to ensure we can afford ticket price?
    • Decorations/Promotions: Charlotte will have a rough poster copy early next week
    • Decided on having a cash bar
    • Blaine has emailed catering person to finalize menu selections
  • Miscellaneous
    • Queer awareness week is next week
    • Association of Latin American Students: World Cup of Soccer (indoor soccer event), 50 dollars to sign up a team (200 dollars to winning team), Sunday April 4

Adjournment

  • Meeting was adjourned at 10:15am by John Abreu-Lanza. The next meeting will be at 9:30am on March 19th, 2010 in the Kinesiology Seminar Room.
