Meeting Minutes

Monday September15, 2014

 

 

Opening:

The meeting of the BPKSA was called to order by Steven at 1:30 in AQ 5009

 

In Attendance:

Garveen, Loryn, Shaila, Steven, Josh, Parham, Matt, Matteo, Ran, Alex, Sabrina, Darleen, Joyce, Nick, Ashley, Conrad, Kirsten

 

Open Issues:

 

àIntroducing:

  • Nick: 1st year KIN student
  • Conrad: 3rd year KIN student
  • Ashley: 4th year KIN and Psych

 

àBPK Kickoff Review:

  • Huge improvement from last year and was much more concise compared to last year
  • Last year, the Kickoff/Orientation was 2 days long and we had 60 people registered, whereas this year, there were approximately 45 new students registered
  • Biggest obstacle that prevented more students from attending was that: people had classes during the time on the Kickoff, due to BISC, CHEM, KIN labs being on the Thursday
  • For next year:
  • Maybe do the Kickoff in the first week of school as opposed to the second week, as this will remove the obstacle of labs for the first years (a lot of people left since they had classes)
  • But still keep the Kickoff on the Thursday
  • But this means, we’ll have to have the kickoff finalized and organized before the first week of school; therefore we’ll need to meet in the last week of August to finalize everything
  • Also will need to have all of the promotions done beforehand
  • We should do proper icebreakers with the attendees when they first come to make everyone comfortable with each other
  • Do some kind of activity to encourage students to talk more to the Professors during the BBQ, since students this time didn’t really interact with the Professors (but did talk a lot to each other and to members of the BPKSA)
  • Maybe seal of the BBQ in a room to encourage students to stay for the entire duration of the kickoff
  • Shorten the tour sessions a little since a lot of groups finished earlier than the allotted time
  • Tranisitions between sessions were a little choppy; need to improve on that for next year so it looks more professional
  • Amelia, the advisor for BISC attended
  • Very promising; could generate interest from other departments to do a faculty of sciences kickoff
  • Lab Tours Improvements:
  • Make sure to have better communication with professors for lab tours for next time
  • A lot of students had difficulty understanding the research in the labs
  • Maybe have students working in labs explain research of the lab at a first year level next time so students understand the research better
  • Darleen: department has a video camera and camera; make sure to designate someone next year to take photos and video footage of the kickoff
    • Make BBQ and Kickoff separate events next year
    • Promote events once at a time rather than all at once, since it’ll place emphasis on the event and students aren’t overwhelmed with everything coming at them all at once
    • Maybe make a schedule in the booklet for BPK events coming up in September for the students to keep
    • Brochures left over if anyone wants to keep them, Darleen has them in her office

 

à Calling Campaign:

  • Wasn’t successful, therefore won’t be happening again next year
  • It was very difficult to get a hold of the new students
  • Maybe opt to send out emails next year or send out mail with a pamphlet of the kickoff and the BBQ to invite the new students

àDepartment can pay for the mail

àCan always have pamphlets to hand out at the SFU orientation

 

àLeft over BPK Swag Bags

  • Sabrina: email new students to give out the remaining swag bags with water bottles

àwill tell the students to swing by Sabrina’s office and pick them up

àthere will be a list of students, so we can check off to confirm they are first years

àBPKSA is paying for half of the price+shipping

àSabrina will give the receipt to the new treasurer next week

 

àReimbursments

  • Steven motioned to reminburse Joyce $10.00 for Science World. Loryn seconded the motion. The motion was unanimously approved.
  • Alex motioned to reimburse Kirsten $63.76 for the desserts provided after the Kickoff. Loryn seconded the motion. The motion was unanimously approved.
  • Will reimburse Debbie next time for the poles used for the BPK Kickoff signs

 

àDarleen met with the CEO of Fortius: Sport and Health

  • Fortius is looking for staff and volunteers to help with their outreach and events they host (Darleen has promoted BPK undergraduates to them for this)
  • Volunteering could lead to paid positions and also possibilities of practicum’s, honours projects, and directed studies with them

àBPKSA email account has expired

  • To get a hold of Steven for the next week, just email him on his personal SFU email account
  • Host server also needs to be started again since it stopped working in spring; Josh will take care of this

  • Tuesday, January 20, 2014

àKin Games: @ UBC this year

  • National student run games between all the KIN programs across Canada
  • Leandra is taking in applications, if interested, email: kingames@sfu.ca
  • Includes an academic component, sports component, and an opening ceremony where all schools perform a dance
  • Must be 19 and above, by March 20 or 21, 2015

  • Candidates:
  • President: Loryn and Joyce
  • Vice President: Shaila

  • SFSS Forum Representative: Parham
  • Departmental Committees Representative for Kinesiology: Steven
  • Departmental Committees Representative for Biomedical Physiology: Joyce and Loryn
  • External Relations Officers: Matt
  • Promotional Coordinator: Ashley
  • Web Design/Developer: Josh

  • If you are interested in running for any executive position, let Steven know ASAP
  • Here is a list of the positions and their descriptions:

President

  • Chairs meetings and facilitates discussion
  • Schedules meetings for each semester
  • Prepares an agenda (department issues, updates, event planning, etc.) for each meeting
  • Represents the union at department and union functions
  • Oversees union activities
  • Acts as a signing authority for the union

 

Vice-president

  • Assists President as necessary or requested
  • Chairs meetings and otherwise fulfills the President’s role if the President is unable to do so
  • Acts as a signing authority for the union

 

Treasurer

  • Maintains all financial records of the union including a statement of assets and anticipated intakes and expenditures
  • Makes reports to the union membership, including an accounting of all funds received and spent in the name of the union
  • Prepares and submits to the executive a proposed operating budget for each semester
  • Acts as a liaison between the union and any external sources of funding
  • Acts as a signing authority for the union

 

Secretary

  • Records and distributes minutes of meetings
  • Maintains files and records of union activities
  • Oversees union correspondence, including maintenance of the union mailing lists

 

SFSS Forum Representative

  • Represents the union in the SFSS Student Forum
  • Maintains communication between the union and Forum
  • With the direction of the union, promotes the interests of the union in the Forum

 

Departmental Committees Representative

  • Attends all department meetings on which the union has a representative, such as the Undergraduate Programming Committee
  • Keeps the union informed of departmental affairs
  • With the direction of the union, promotes the interests of the union in the department committees
  • Acts as a liaison between students and the department, and attempts to address and rectify student concerns with the undergraduate program.

 

External Relations Officer

  • Acts as the primary point of contact for external organizations
  • Maintains and updates a contact list of representatives as necessary

 

Promotional Coordinator

  • As guided by the union, develops promotional materials for union events
  • Arranges posting and disbursement of promotional items
  • Organizes volunteer scheduling for academic and social events

 

Adjournment:

The meeting was adjourned by Steven at 2:20 pm. The next meeting of the BPKSA will be on Monday, September 15, 2014 at 1:30 pm in AQ 5009.
