Meeting Minutes

Thursday September 10, 2015

 

Opening:

The first meeting of the BPKSA for the semester of Fall 2015 was called to order by Loryn in the BPK Graduate Students Lounge.

 

In Attendance:

Loryn, Jake, Garveen, Alex, Michelle, Taylor, Darleen, Ashly, Ruvini, Aaron, Caleb, David, Shaila, Kirsten, Megan, Matt, Darleen

 

Open Issues

 

Promotions for Upcoming Events

-Darleen dropped the meeting and discussed promoting our upcoming events in classes (this includes BPK 142, 143, 180, 201, 205, 207, 241)

-Upcoming Events in BPK include:

-BPK Kickoff + the Welcome BBQ (September 24th)

-Terry Fox Run (October 2nd)

-promotions will also include information about BPK Kickoff (tours, BBQ information and emphasis on the fact that those who attend can learn lots about the opportunities available), the BPK Co-op program, and the Welcome Back BBQ

-Darleen also mentioned that she needs help with set up for the BBQ so if you aren’t busy with the Kickoff or classes that day and are able to help, be sure to contact Darleen; Ashly has already volunteered to help Darleen

 

Clubs Days

starts next week and is in Convocation Mall

-the Faculty of Science Undergraduate Society (SUS) emailed Loryn and they want all the Science departments to be in one cluster at Clubs days

-therefore, now the tables we have booked are: Tuesday (67) and Thursday (65)

-set up is at 10:30 am on both days (if you are able to help Loryn out on Tuesday with set up, let her know ASAP)

-the table this year will have:

-the star trace (Loryn will email Craig asking if we can borrow it)

-clothing; in addition Jake will also make a suggestion box so we can get people visiting the table to give suggestions/ideas for new clothing designs,

-a sign up sheet for emails

-a flier advertising upcoming events

-Loryn has send out a doodle poll for shifts at the table; if you have not responded yet, please do so

-we ideally want 3 people to be sitting at the table at once, but also anyone is free to drop by at any time to just hang out J

 

BPK Kick off

Will be on Thursday, September 24, 2015 (there will be no BPKSA meeting on this day)

-the link for registration is online and in addition Loryn has sent it out via email to BPK Undergraduates

-the Kickoff itself is free, but the BBQ will be 2 toonies for Terry

-Sabrina updated the poster and will be printing it out & the booklets will be done next week

-Darleen will be going to the classes listed above to advertise the event

-Mentors: try to get your mentees to sign up as this is a good opportunity for them to learn about how to get involved at SFU REC or in Research Labs in BPK

-everyone will meet at 10:45 am at Freedom Square in Convocation Mall for registration and will head to SFU REC tours from there

-we will be dividing everyone up into 2 groups this year; Garveen will make the signs for Group 1 and Group 2

-for those who cannot make REC tours but can make Lab Tours, Loryn will meet them at the BPK Main Office @ 11:55 for registration

-SFU REC Tour Leaders include: Megan, Garveen, Jake, Loryn (if you are able to lead tours on this day, let Loryn know ASAP as these individuals may not be available at this time for sure)

-Lab Tour Leaders: Jake, Garveen, Loryn, Megan, Shaila

-TOUR LEADERS: be sure to wear your BPK gear!

-Shaila will confirm with Peter Ruben for lab tours, and Loryn will confirm with Sherri Ferguson

 

Elections:

-Elections for executive positions will be held next Thursday, September 17, 2015

-Descriptions of executive positions and who is currently running, and who currently holds the position is as follows:

President

Current: Loryn

Running: Loryn

  • Chairs meetings and facilitates discussion
  • Schedules meetings for each semester
  • Prepares an agenda (department issues, updates, event planning, etc.) for each meeting
  • Represents the union at department and union functions
  • Oversees union activities
  • Acts as a signing authority for the union

Vice President

Current: Shaila

Running: Garveen

  • Assists President as necessary or requested
  • Chairs meetings and otherwise fulfills the President’s role if the President is unable to do so
  • Acts as a signing authority for the union

Treasurer

Current: _____

Running: ______

  • Maintains all financial records of the union including a statement of assets and anticipated intakes and expenditures
  • Makes reports to the union membership, including an accounting of all funds received and spent in the name of the union
  • Prepares and submits to the executive a proposed operating budget for each semester
  • Acts as a liaison between the union and any external sources of funding
  • Acts as a signing authority for the union

Secretary

Current: Garveen

Running: Megan

  • Records and distributes minutes of meetings
  • Maintains files and records of union activities
  • Oversees union correspondence, including maintenance of the union mailing lists

Promotional Coordinator

Current: Matt

Running: Matt

  • As guided by the union, develops promotional materials for union events
  • Arranges posting and disbursement of promotional items
  • Organizes volunteer scheduling for academic and social events

SFSS Council Rep

Current: Jake

Running: Jake

  • Represents the union in the SFSS Student Council
  • Maintains communication between the union and Council
  • With the direction of the union, promotes the interests of the union in the Council

Departmental Committees Rep (Biomedical Physiology)

Current: Parham

  • Attends all department meetings on which the union has a representative, such as the Undergraduate Programming Committee
  • Keeps the union informed of departmental affairs
  • With the direction of the union, promotes the interests of the union in the department committees
  • Acts as a liaison between students and the department, and attempts to address and rectify student concerns with the undergraduate program.

Departmental Committees Rep (Kinesiology) 

Current: Erina

Running: Erina

  • Attends all department meetings on which the union has a representative, such as the Undergraduate Programming Committee
  • Keeps the union informed of departmental affairs
  • With the direction of the union, promotes the interests of the union in the department committees
  • Acts as a liaison between students and the department, and attempts to address and rectify student concerns with the undergraduate program.

External Relations Officer

Current: Ashly

Running: Ashly

  • Acts as the primary point of contact for external organizations
  • Maintains and updates a contact list of representatives as necessary

-if there is a position you are interested in running for, email Loryn and let her know before the election next Thursday.

 

 

BPK Peer Mentorship Social Events

-Alex and Matt (directors of the BPK Peer Mentorship Program) discussed the potential of some social events for mentors and mentees

-these included: Laser tag, a scavenger hunt on campus, or Alex was thinking about holding a fitness class

-Scavenger Hunt

-if we do this, mentees can learn more about the campus

-we can also give out old clothing, books, water bottles as prizes to the   mentees

-Laser Tag
-$9/game and if we pay for 1 game per person and assume only 2 people show up,

we’re looking at approx. $180 for this event

-more information from Alex and Matt will come on this
