Minutes – September 11, 2017

Opening:

The meeting of the BPKSA was called to order at 1:30pm by Crystal in the BPK Conference Room. Minimum quorum of 4 executive members reached.

Open Issues:

1) Peer Mentorship Event

  • September 1st
  • Over 30 mentees and 10 mentors attended
  • Introduction activities, period to ask mentors questions, photo scavenger hunt
  • Feedback from first years who attended the event:
    • Scavenger hunt was good for getting to know people in small groups; scavenger hunt groups were made based on who had classes together
    • Would have liked more time for mentors to speak about first year classes

 

2) BPK 101

  • 40 students registered, less than 20 students attended the event
  • To improve for next year:
    • Not the first week of school – we expected first year labs to not run during the first week
    • After clubs day to have more time for advertising
    • Fewer ice breakers
    • Make the event shorter
    • Advertise on Facebook
  • Advertised in the Weekly Digest, newsletter, and by email
  • Feedback from first years who attended the event
    • Students had trouble finding the room
    • Appreciated the informational part of the event
    • Not enough first years knew about the event
    • Heard about the event through Mentorship Facebook page

 

3) Clubs Day

  • Aaron from BNSS will be at the clubs day table on Tuesday and Wednesday, Crystal will be at the BNSS table on Thursday and Friday to represent BPKSA
  • Please fill out availability in doodle poll
  • BPK buttons, Oztrekk flyers, and Wings Night flyers to hand out

 

4) Wings Night

  • Friday September 15th starting at 5pm
  • Location is WINGS (345 North Road, Coquitlam)
  • Collaborating with the BNSS
  • SFSS approved our grant for $300
  • 2 BPKSA members at the meeting are available to attend the event
  • Will order $360 worth of chicken wings: Honey Garlic, Louisiana Sweet, Chicago Salt & Pepper, Buffalo
  • Sonya will be making a poster to advertise the event

 

5) Welcome BBQ Kickoff

  • Ryan Dill will start with the opening speech
  • Nick from SFU Recreation has confirmed his availability to do a presentation on becoming a Fitness Assistant Volunteer
  • SFU Physio has not confirmed – Emily B will send a reminder email
  • Lab tours
    • Glen Tibbits (Cardiac Molecular Physiology Lab) has confirmed
    • Need one more lab – ask Andrew Blaber, Victoria Claydon and Leanne Ramer if they are available
    • If we cannot get a second lab tour, possibly do an extended tour of the Cardiac Molecular Physiology Lab

 

6) Meeting Minutes

  • New procedure for meeting minutes in BPKSA meetings:
    • Secretary will write the meeting minutes and email to the ksa-exec list
    • Everyone will have one week to review the meeting minutes
    • Amendments will be the first agenda item in future meetings
    • Secretary will post the meeting minutes on the BPKSA website and SFSS website
  • Based on the procedure used in BPK Department meetings
  • We have not had issues in the recent past, but the changes will help with accountability for what was said during meetings

 

7) Slack

  • We will no longer be using Slack as a communication platform
  • Department suggested keeping communications to SFU Connect
  • Response on Slack was poor

 

8) Science Frosh

  • DSUs have been invited to the opening ceremony on Saturday Sept 16th
  • 1-2 minute presentation about the BPKSA (we may prepare a PowerPoint)
  • Advertise events coming up in September
  • Who we are, what we do, meeting time
  • Include photos from last year’s events in the PowerPoint

 

9) Halloween Event Collaboration

  • Brooked Events
    • Club on campus
    • Expressed interest in collaborating on a Halloween event
    • Usually do nightlife events at pubs and clubs, but interested in having more daytime events
    • They will email Crystal with more information, once they have more of the event planned
  • BNSS
    • Also interested in doing another collaboration
    • Interested in doing another collaboration on a Halloween event
    • Pub night at the Highland Pub (will open for rentals in October)
    • October 27th has been selected to have the event
    • No details about event yet
    • We are interested in hearing more about details

 

10) Student Union Building

  • SFSS is accepting expressions of interest, due at the end of September
  • Not an application for a space in the SUB
  • We do not currently have a space for undergraduate BPK students
  • Suggestions to include in the questionnaire:
    • Lounge space and microwave
  • Crystal will work with Jaskarn to fill out the questionnaire
